Introduction

Welcome to Coheven, the first online marketplace in the Philippines that enables event planners to book venues and services with management tools all in one place. By using our platform, you agree to comply with these Terms and Conditions.

Platform Usage

Eligibility

  • Users must be at least 18 years old or have legal guardian consent to use Coheven‘s platform, both as a Planner and as a Host/Vendor.
  • By using the platform, you confirm that all provided information is accurate and compliant with applicable laws.

Account Registration

  • Users must create an account to access Coheven‘s services. You are responsible for maintaining the confidentiality of your account credentials and all activity under your account.
  • In case of suspicious activity or unauthorized access, you must notify Coheven immediately.

Prohibited Activities

Users may not:

  • Use the platform for fraudulent, illegal, or unauthorized purposes
  • Circumvent the platform‘s payment system by engaging in direct transactions.
  • Provide false or misleading information.
  • Engage in abusive, disruptive, or inappropriate behavior, including harassment, offensive language, or any actions that disturb or harm the platform‘s integrity.
  • Create multiple accounts to manipulate ratings, reviews, or bookings.
  • Persistently cancel bookings without valid reasons. Excessive cancellations, defined as three or more without valid reason, may result in account suspension.
  • Use stolen credit cards or engage in fraudulent chargebacks.

User Roles & Responsibilities

Planners

Individuals seeking venues and vendors for event planning

Host

Venue owners listing event spaces.

Vendors

Service providers offering event-related services.

Clients

Planners who successfully book a venue or service.

Responsibilities

  • Hosts: Must ensure listing accuracy, venue availability, and compliance with local laws, including necessary permits and licenses (e.g., business licenses, health permits). For example, ensure the venue meets the advertised capacity and complies with safety regulations
  • Vendors: Must provide accurate service descriptions, fulfill bookings professionally, and disclose additional fees upfront (e.g., setup or overtime fees). Notify Clients of any extra charges.
  • Clients: Must use venues and services as agreed, follow venue rules, and pay all applicable fees promptly, including tax or service fees.
  • All users must communicate professionally and respond to inquiries in a timely manner.
  • Users must maintain high service standards, and repeated complaints or poor reviews may result in listing removal or account suspension.

Booking & Payments

Booking Process

  • A booking is confirmed when payment is successfully processed and both the Host and Vendor have approved the booking. All parties must honor confirmed bookings.
  • In case of failed payment, the booking will not be confirmed until successful payment is made.

Pricing & Payments

  • Prices must be clearly stated by Hosts and Vendors.
  • Clients agree to pay the listed price and disclosed fees before confirming the booking.
  • Payments must be processed through Coheven‘s approved methods, including major credit cards, GCash, and Maya.
  • Coheven charges a 5% fee on successful bookings, paid by the Client. Hosts and Vendors are not charged any fees, including listing fees, and do not incur costs for successful bookings.
  • Coheven is not liable for disputes over pricing discrepancies between Hosts, Vendors, and Clients.

Cancellation & Refunds

  • Clients may cancel bookings within 24 hours of booking confirmation for a full refund, provided the event is at least one week away.
  • Cancellations made less than a week before the event may result in partial or no refunds, depending on the Host or Vendor’s cancellation policy.
  • If a Host or Vendor cancels a confirmed booking, Clients will receive a full refund.
  • Refunds are processed within 7-14 business days, depending on the payment method used.
  • Coheven is not responsible for cancellations due to force majeure events, such as natural disasters or government restrictions, as it acts solely as a platform connecting Clients with Hosts and Vendors. In such cases, refund requests will be evaluated individually. Possible resolutions include rescheduling as the first option, issuing credits, or providing partial refunds based on discussions with the affected parties.
  • Refunds for cancellations due to poor service quality or venue issues must be requested within 48 hours after the event and will be reviewed based on provided evidence. Poor service includes but is not limited to non-fulfillment of a booking, major misrepresentation of the venue or service, or significant disruptions affecting the event.
  • Last-minute cancellations (less than 48 hours before the event) may not be eligible for a refund unless due to exceptional circumstances, which will be reviewed on a case-by-case basis.

Liabilities & Dispute Resolution

User Disputes

  • Coheven is not a party to transactions between Clients, Hosts, and Vendors, but may assist in dispute resolution at its discretion.
  • Users must attempt to resolve disputes directly between themselves before Coheven intervenes.

Liability for Damages

  • Clients are responsible for damages caused to a venue or Vendor‘s equipment during an event.
  • Hosts and Vendors are responsible for maintaining their spaces and equipment in good condition.
  • Coheven does not assume liability for any damages caused by the actions of the Hosts, Vendors, or Clients during an event.
  • Coheven does not offer protection or insurance for damages but encourages Planners and Vendors to secure appropriate event insurance to cover potential damages or losses.
  • Coheven is not responsible for personal injury, property damage, or any other event-related incidents unless caused by negligence directly linked to the platform‘s operation.
  • Users who repeatedly fail to meet service expectations or violate policies may face penalties, including removal from the platform.

Dispute Resolution & Restrictions

  • By using Coheven, you agree to resolve disputes through binding arbitration, except where prohibited by law. Before arbitration, Coheven encourages users to attempt resolution through its internal support team.
  • To initiate a dispute resolution request, users must contact Coheven support within 7 days of the issue occurring.
  • Coheven will assist in resolving disputes only if both parties involved have made reasonable attempts to resolve the matter on their own.

Platform Usage Rules & Restrictions

Prohibited Activities

Users may not:

  • List fake or misleading event spaces or services.
  • Host or promote illegal events.
  • Communicate and transact outside Coheven after connecting on the platform. This is discouraged as it may limit Coheven‘s ability to investigate disputes and ensure proper service fulfillment.
  • Persistently cancel confirmed bookings without valid reasons.
  • Engage in any activity that circumvents the platform‘s established rules and processes.

Intellectual Property

  • Users retain ownership of uploaded content (e.g., photos, listings).
  • Coheven may use user-uploaded content for marketing purposes, such as in promotional materials or ads.

Account Management

Account Termination by Users

  • You may request to terminate your account at any time. However, you remain responsible for outstanding fees, confirmed bookings, and any obligations incurred before closure.
  • Upon deactivation, your listings will no longer be visible, but Coheven will retain your account data, such as transaction history and personal information, for 30 days to allow you the option to recover your account.

Account Termination by Coheven

  • Coheven may suspend or terminate accounts for violations of our Terms, including fraudulent activities, failure to respond to communications, or non-compliance with applicable laws. Users will be notified of such actions.
  • Users may appeal account suspensions by contacting Coheven’s support team within 14 days of receiving notice.
  • Coheven will review and respond to appeals within 10 business days.

Compliance & Legal REquirements

Taxes

  • Hosts and Vendors are responsible for reporting their income and complying with all applicable Philippine tax regulations, including proper tax filings.

Regulatory Compliance

  • All users must comply with applicable Philippine laws and industry regulations related to event businesses.

Data Privacy

  • Coheven follows industry-standard security measures, including encryption, to protect user data and ensure privacy
  • Personal data will be deleted permanently after 30 days following account termination unless required for legal or regulatory compliance.
  • Users may request a copy of their data before deletion, subject to verification.

Modifications to Terms

  • Coheven reserves the right to modify these Terms. Users will be notified via the platform and email at least one month before changes take effect.

Governing Law

  • These Terms are governed by the laws of the Philippines. In case of legal disputes, both parties must resolve the dispute within the jurisdiction of the Philippines.
